Delivery Note Format for Outlets: What to Include and How to Check It
By Asaad Al Hashmi, Founder and CEO of Wady
A delivery note is the document that travels with goods and lists what is being delivered, so the receiver can check it against what arrives. For a central kitchen sending to its outlets, it holds the outlet, the date, and each item with the quantity ordered and the quantity sent. This guide covers what to put on a delivery note, how to pick against the order and check before the delivery leaves, and how Wady Central creates and prints delivery notes.
Key takeaways
A delivery note lists what left the kitchen and for which outlet, with the quantity ordered and the quantity sent for each item.
Pick from the outlet's order, not from memory, and check the load against the note before it leaves.
A short or over line is a fact to record while you pick, not a surprise at the outlet.
In Wady Central the order the outlet placed becomes the delivery note, so nobody retypes it, and one button prints the day's notes.
What is a delivery note, and what should it include?
A delivery note lists the goods sent to one receiver and travels with them, so the receiver can check what arrives against what the note says. It does not ask for payment. That is the invoice's job, and a delivery note does not need prices. Between a central kitchen and its outlets it also records that stock left the kitchen, and for which outlet. Some kitchens call this a goods issue note.
What should a delivery note hold?
Field | Example | Why it matters |
|---|---|---|
Reference number | DN-0001 | One number both sides quote |
Date and time sent | 8 Oct, 06:30 | Shows how old an unconfirmed delivery is |
From and to | Central kitchen, Outlet B | Says where the goods left and where they went |
Item and pack | Butter croissant, tray of 24 | Uses the same names as the outlet's order |
Quantity ordered | 52 | What the outlet asked for |
Quantity sent | 50 | What left the kitchen |
Note | Short 2, oven down | The reason, written when it happens |
The values in this table are an example.
How do you pick an outlet delivery against the order?
Pick from the outlet's order, line by line, and write down every difference when you find it.
Start from the outlet's order. Print it or open it. Do not pick from memory or from a chat message.
Pick each line to the ordered quantity. If you cannot send all of it, write the quantity you sent and the reason.
Mark anything over. If you send more than ordered, say so on the line and say why.
Keep each outlet's goods together, with its own note, so the note and the goods cannot separate.
Print the day's notes in one batch before picking starts, so nobody waits for paper during the run.
What should you check before the delivery leaves?
Check the load against the note once, at the door, before it goes.
Count. Trays, cases and bags against the quantity sent on the note.
Condition. Chilled items still cold, packs sealed, dates visible.
Differences. Every short or over line carries a reason.
Match. The right note with the right goods.
After it leaves, the delivery stays open until the outlet confirms what arrived.
⚠️ Watch out: A delivery nobody has confirmed is stock that left your kitchen and that nobody has accepted, so follow it up the same day.
How do you create and print delivery notes in Wady Central?
In Wady Central the order the outlet placed becomes the delivery note, so nobody retypes it. You pick from a list that is already filled in, send the delivery run, and print the day's notes in one go.
Pick and send the day's deliveries
Open Dispatch. The To send tab lists what is waiting to go out. Each outlet's order arrives as a picking list already filled in with what the outlet ordered.
Pick each line. If you send less than ordered, the line shows as short and the rest stays owed on the same order line. If you send more, it shows as over, and Wady Central warns you but does not stop you.
Send the delivery run. Stock moves out of the kitchen and the delivery note is created.
For the morning run, choose today's date in the date picker and click Print All Delivery Notes. The button is off while the picker shows all dates, and its tooltip reads Pick a day to print its delivery notes.
What do the badges mean?
A line you picked below or above the order carries a short or over badge, so the difference is visible before the delivery goes.
Not stock-tracked. A neutral badge on a product that is not linked to a stock item. Its tooltip says no inventory is deducted. The product still goes on the delivery, and it never blocks picking.
Where does a delivery show up after it leaves?
The In transit tab lists every delivery that was sent and not confirmed. Its counter shows the number of deliveries, the value not yet confirmed and the age of the oldest, and each row shows its own value and age.
A delivery leaves that list only when the outlet confirms. The outlet confirms in the app it orders with: it enters the quantity received and can add a note and a photo. See what to do when an outlet receives less than was sent.
Dispatch in the sidebar carries a red badge while deliveries are in transit.
The Daily Brief flags deliveries pending confirmation. See the daily kitchen report.
What does Wady Central not do?
It does not scan or weigh goods. The person picking enters what went on the load.
It does not take stock off for a product that is not stock-tracked. The product still goes on the delivery.
The interface is in English.
